Know what's on the shelf without counting it yourself. If you sell physical stock, you know the drill: bought 50, sold some, gave two away — how many are left? Tracking inventory just means keeping that count, and stub does the arithmetic for you. Every sale takes the quantity off, every purchase puts it back on, and the item page always shows what you're holding right now.
Stock tracking is a premium feature, and it's off until you switch it on — item by item. Track the things you hold; leave your services alone.
Turn on stock tracking
Open the item under Products & Services, tick Track stock, and save. You can also tick it when you first create the item.
A Stock figure appears on the item's page, showing what you have on hand — it turns red when you drop below one — and a Stock menu appears for adjustments and purchase orders.
Record your opening stock
Start with what's actually on the shelf today.
- Open the item and click Stock → Stock adjustment.
- Set the type at the top to Other.
- Enter a Description, such as "Opening stock".
- Set the Date.
- Leave the direction on Increase and enter the Quantity you have.
- Click Save.
Adjust stock up or down
Use this for a stock take, breakages, samples or anything else that moves stock without a sale.
- Open the item and click Stock → Stock adjustment.
- Set the type to Other. (Received and Sold record a purchase or a sale by hand instead.)
- Enter a Description explaining the movement — lost, damaged, stolen, expired.
- Set the Date.
- Choose Increase or Decrease and enter the Quantity.
- Click Save.
Restock from a supplier
Click Stock → Purchase Order on the item and stub starts a purchase order with the item and its cost price already filled in. Add the supplier and quantities, and send it.
When the goods arrive, turn the purchase order into a bill. See Purchase orders.
Stock comes off automatically when you sell
This is the point of it all. Put a tracked item on an invoice and stub takes the quantity off your stock on hand. You do not need to adjust anything by hand.
See your stock history
Open the item and look at the Stock view. Every movement is listed — sales, purchases and adjustments — with its date and description, one month at a time. Use the month picker to look back, and the filters to show only one kind of movement. Click any line to edit it.
Check stock across your catalogue
Go to Insights, open the report picker at the top of the page, and run the Inventory report.
Note: stub does not have low-stock alerts or reorder levels. Check the Inventory report, or the stock figure on the item, which turns red once you drop below one.
