stub posts the double-entry for every invoice, bill and payment itself, so manual journal entries are the rare exception, not the routine — most businesses go months without one. A journal entry is simply a correction you write straight into the books: which account goes up, which goes down, and by how much. A few adjustments don't come from any document, and this is how you post them when they do.
When you need one
- Spreading an annual cost, like insurance, across the months it covers.
- Adjustments your accountant asks for at year end.
- Corrections that can't be made on the original document.
- Moving a balance between accounts.
Post an entry
- On the General Ledger, click Entry at the top. (Or press N.)
- Enter a Description — write it for the version of you reading this in a year's time. "March insurance accrual" beats "adjustment".
- Set the Date.
- On the first line, pick the account and enter the amount under Debit or Credit.
- On the next line, pick the other account and enter the matching amount on the other side.
- Add more lines if you need them.
- Check the Debit and Credit totals at the bottom match.
- Save.
You cannot save an entry that doesn't balance — that's double-entry keeping itself honest.
Add notes, tags and files
Click the buttons at the bottom of the window to add:
- Notes — the reasoning behind the entry.
- Tag — to include it in a project or branch report.
- File — the schedule or calculation you worked from.
Tip: Attach the working. A manual entry with the spreadsheet behind it attached is a manual entry nobody has to reverse-engineer later.
Edit or delete an entry
Find the entry on the General Ledger — the account filter and month selector get you there fastest — and click it to open. Change what you need, or click the trash button to delete it. Deleting is permanent.
Note: stub has no automatic reverse-journal action. To undo an entry, either edit it, or post a new one with the debits and credits the other way round.
Import entries in bulk
Click ··· → Import on the General Ledger and drop in your file.
