Books that stay inside stub only ever help you. Books that leave it — as a PDF a lender reads, a CSV an accountant works through, a statement a partner or a buyer picks apart — are what unlock finance, a clean tax return and a serious conversation about what the business is worth. Every report in stub can be out of the product and into an email in about four clicks.
The other quiet benefit: because you send the file yourself, nothing about your business goes anywhere without you having looked at it first.
What to know before you export
- The export mirrors the report as it's set up. Your filters land in the file exactly as they are, and the dates in the download window start off matching the screen — you can adjust them there, but nothing else. Set the report up first; a mis-set report is the single most common cause of an accountant coming back with questions.
- Tag filters travel too, and they're easy to forget. A report still filtered to one project will export as that project's figures, correctly labelled but not what you meant to send.
- Uncategorised transactions don't fix themselves on the way out. If the report is missing money on screen, the PDF is missing it too. Clear the backlog before anything goes to an accountant or a lender — see When report numbers look wrong.
- PDF and CSV are different tools, not two qualities. PDF is formatted for a human to read and can't be tampered with easily; CSV is raw data for someone who needs to sort, filter or chart it. Which you send depends entirely on what the person is going to do with it.
- stub doesn't email reports for you. There's no send-to-accountant button; you download the file and attach it wherever you like.
Download a report
- Open the report you need — Insights → the report picker at the top, or Reports in the sidebar.
- Set the date range, and any Tag filter in the header.
- Click the ··· menu, top right, then Download.
- Pick PDF or CSV, and check the dates — they start off matching the screen, and this is your last chance to change them.
- Click Download.
On Profit & Loss, the same ··· menu also offers Financial statements — the full pack for a bank or an accountant. See Financial statements. The same pack lives on the Reports page.
Which format to pick
- PDF — formatted and ready to read. Use it for accountants, lenders and meetings.
- CSV — raw data. Use it when someone needs to sort, filter or chart it in Excel or Google Sheets.
Share it
Attach the downloaded file to an email or WhatsApp message, or save it to Google Drive, Dropbox or wherever you keep your records.
Before you send it
- Check the date range covers the period you actually mean.
- Check your tag filters.
- Clear any uncategorised transactions.
Tip: Send your accountant both — the PDF to read, the CSV to work with.
