Your Chart of Accounts is the set of categories every transaction gets filed under — the five buckets stub sorts your money into. stub sets you up with a sensible chart from day one, and plenty of businesses never need to touch it. But when you want a report to say "Software subscriptions" instead of something generic, this is the room where you tune it. The usual reasons to come in here: a report lumps too much under one line, your accountant asks for a cost to be tracked on its own, or you're bringing a chart across from another system.
It lives under Settings → Finance, under the Accounting heading. The page has a tab for each of the five types: Income, Expenses, Assets, Liabilities and Equity — every account in your books belongs to one of them.
Add an account
- Open the tab for the type you want, scroll to the bottom and click Add account.
- Enter the Name — something you will recognise on a report, like "Software subscriptions".
- Add a Description if the name needs explaining.
- Check the Journal is right — Income, Expenses, Assets, Liabilities or Equity.
- Save.
Set the advanced options
Open More in the account window for:
- Parent account — nest this account under another, so related costs group together on your reports.
- Primary income — mark your main revenue account.
- Role — flag an account as Cost of sales, Interest, Tax or Provision for tax, so it lands in the right band of your Profit & Loss.
- Cash or cash equivalents — mark accounts that count as cash for your Cash Flow report.
- Currency — for an account held in a foreign currency.
Tip: Setting Cost of sales on the right accounts is what makes your gross profit figure meaningful. It is worth five minutes.
Edit an account
Click any account on its tab, change what you need and save.
Import a Chart of Accounts
Moving from another system with a chart you want to keep? Click the ··· menu at the top right of the page, choose Import and drop your file in.
Note: stub does not use account codes or numbers, and accounts do not carry a default tax rate — tax is set on your items and on each document line instead. See Default tax rates on items.
